Imagine, an inside sales representative books an important client appointment in Dynamics 365 CRM. The meeting is set, but now the responsibility shifts to the field sales representative, who must visit the customer in person. Here’s where the real challenge begins—seamless coordination between inside and field sales teams. Without proper alignment, missed appointments, last-minute rescheduling, and communication gaps can create unnecessary hurdles. So, how can businesses ensure a smooth collaboration between these teams to enhance efficiency and customer satisfaction? Let’s explore.
Maplytics™ new version is adept at helping in such situations with its Save and Share route functionality. This new functionality enables Dynamics 365 CRM users to save plotted and scheduled routes as a Dynamics CRM activity, which can be shared through email as well. This way, sales reps can schedule multiple appointments with customers, create an optimized route for it, and share it with their associate field salesperson via email. With Dynamics 365 Route Optimization, sales teams can efficiently plan their client visits, ensuring minimal travel time and maximum productivity.
Meet Alex, an inside sales representative who has mapped out a client’s location using Bing/Azure Maps. Now, he wants to share the optimized route with his team and save it for future reference. But how can he do this efficiently within Dynamics 365 CRM? Let’s find out.
Steps to Save and Share Optimized Route:
Using Maplytics Alex will:
- Add multiple data points into the direction manager and build a route. Alex can further optimize route or see traffic data using different Options like Shortest distance, Avoid Highways, Avoid toll roads, etc. as shown in the screenshot below.
2. To share the plotted route with his team, Alex Clicked on the Email option as shown in the screenshot below
3. This will open up an email template with a short link for the route. Links are different for Desktop and Tablet/Mobile access. Alex can choose any record from Dynamics 365 to share this route.
4. If Alex wants to save this route for future reference to be accessed on some other day, please click on the ‘Save’ button as shown in the screenshot below.
5. While saving Alex filled in the details like Name, Date, and Owner. Alex can use the Owner field when he like to assign this route to any other Dynamics CRM user for sharing directions within Dynamics CRM. The Routing Management for Dynamics 365 feature allows him to use the Owner field to assign the route to another Dynamics 365 user for seamless collaboration.
6. Now to access Saved Route, Alex fills in the date range and click on ‘Search’ to find the list of all saved routes between the defined date range.
7. Alex clicks on the route name to repopulate the route.
Simple, isn’t it?
Conclusion:
With Maplytics™ Save and Share Route functionality, Alex can now streamline coordination between inside and field sales teams effortlessly. By saving optimized routes within Dynamics 365 CRM and sharing them via email, he ensures that field representatives have clear, accessible directions, reducing delays and missed appointments. This not only enhances productivity but also improves customer interactions by ensuring timely visits. With a simple yet effective solution, Alex and his team can now focus more on closing deals and less on logistical challenges—making sales operations smoother and more efficient than ever!
